Data Foundations
0/6
The quality, accessibility and structure of your data determines the ceiling for any AI initiative.
- Core operational data (repairs, tenancies, financials) is stored in a centralised digital system
- Data is broadly accurate and up to date — you trust the numbers in board reports
- Key records (leases, compliance certificates, contractor details) are digitised, not paper-only
- You have unique identifiers for properties, tenants and contractors that are consistent across systems
- Historical data exists for at least 12 months of the workflows you want to automate
- You know where your data gaps are and have a plan (or appetite) to fill them
Technology Infrastructure
0/6
AI integrates with your existing systems — it doesn't replace them. Your tech stack needs to be accessible.
- Your HMS / property management system has an API or supports data export
- Your email, phone and/or chat systems can be integrated with third-party tools
- You use (or are migrating to) cloud-hosted systems rather than on-premise-only
- Your IT team has experience managing integrations between systems
- You have staging or test environments where new tools can be trialled safely
- Your information security policies allow for cloud-based AI tools (with appropriate controls)
People & Skills
0/6
AI changes roles, not headcount. Your people need to be ready for that shift.
- Leadership has expressed support for exploring AI (not just general 'innovation')
- You have at least one internal champion who will own the AI pilot day-to-day
- Frontline staff are open to new tools — or you have a plan to bring them along
- Your team understands the difference between AI automation and AI replacing their jobs
- You have capacity to dedicate to a pilot (even just a few hours per week for oversight)
- Training and upskilling are part of your organisational culture
Governance & Compliance
0/6
AI in regulated sectors requires clear guardrails. Good governance accelerates adoption, it doesn't slow it down.
- You have a data protection officer (or equivalent) who can review AI data processing
- Your organisation has conducted (or is willing to conduct) a DPIA for AI use cases
- You have clear escalation procedures for decisions that require human judgement
- Your board or executive team is willing to approve an AI governance framework
- You understand your obligations under Awaab's Law, the RSH consumer standards and UK GDPR
- You have (or can create) policies on AI transparency — telling tenants when they're interacting with AI
Commercial & Strategic
0/6
AI should solve a business problem, not be technology for technology's sake.
- You can name at least one specific workflow where AI would have immediate, measurable impact
- You know the current cost and performance of that workflow (baseline metrics exist)
- You have budget allocated (or the ability to request budget) for a technology pilot
- Your organisation's strategic plan references digital transformation or operational efficiency
- You're willing to start with a focused pilot before committing to a full rollout
- You have a realistic timeline expectation — weeks to first value, not months

Early stage
Your organisation is at the beginning of the AI readiness journey. That's fine — start with a data audit and a leadership alignment workshop, then revisit this checklist.
